Position Summary
The Solutions Production Clerk provides operational and administrative support across the lifecycle of projects and solution delivery efforts. This role supports project and operations leadership by maintaining production documentation, tracking tasks and milestones, coordinating information flow between teams, and ensuring required records are complete and audit-ready.
The position serves as a foundational production support function within a multi-site, contract-based services environment.
Key Responsibilities
Production & Project Support
- Support projects and solution initiatives from intake through closeout.
- Maintain production trackers, schedules, and task lists.
- Assist with coordination of timelines and dependencies.
Documentation & Records Management
- Maintain organized project and solution files (contracts, scopes, drawings, manuals, permits, closeout packages, etc.).
- Ensure documentation is complete, accurate, and stored in designated systems.
- Assist with preparation of closeout documentation.
System & Data Management
- Enter and update data in project management, service order, or ERP systems.
- Validate data accuracy and completeness.
- Generate routine reports for leadership.
Vendor & Stakeholder Coordination
- Assist with collecting vendor quotes, contracts, and compliance documentation.
- Support communication between operations, project teams, vendors, and finance.
Financial & Administrative Support
- Assist with tracking budgets, purchase orders, invoices, and change requests.
- Support financial reconciliation and billing readiness.
Compliance & Quality Support
- Support internal standards, safety documentation, and contractual requirements.
- Assist with audit preparation and record retrieval.
Continuous Improvement
- Identify process gaps and recommend improvements.
- Support implementation of standardized templates and workflows.
Qualifications & Requirements
- 2+ years of experience in administrative support, operations coordination, project support, or production coordination.
- Strong organizational and time-management skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Comfortable working in multiple systems and databases.
- Strong written and verbal communication skills.
Preferred Qualifications
- Experience supporting projects in technical services, facilities, healthcare technology, IT services, or construction services.
- Familiarity with project management or service management software.
- Associate’s or Bachelor’s degree in Business, Operations, or related field.
