Job Summary:
Individual is responsible for providing support to the Director of Facilities in managing all areas covered under Facilities Operations. Supports employees through a variety of tasks related to organization and communication. Plans and accomplishes goals with a wide degree of creativity.
Duties:
· Provides support to ensure efficient operation of the office
· Creates schedules for Engineering, Security, Couriers, and Bio Med
· Answers phones and assists others with their needs
· Assigns work orders and tasks for EVS and Engineering
· Communicates with Director and helps schedule repair vendors
· Prints and passes out Preventive Maintenance orders
· Creates name badges for employees when requested by Human Resources
· Assists with ordering parts and supplies
· Assists with making signage for interior spaces
· Manages payroll system for Engineering, EVS, Security, Couriers, and I.T.
· Manages credit card for vehicle gas and repairs
· Exhibits polite and professional communication via phone, e-mail, and mail
· Type policies and procedures for Engineering, EVS, Couriers, I.T.
· Takes and types meeting minutes for staff and Safety meetings
· Performs other related duties and responsibilities as required
Qualifications:
· Has excellent organizational and time management skills, ability to handle multiple and concurrent assignments and activities
· Proficient in Microsoft office products
· Ability to work with various other software programs for building controls, work orders, name badges, and payroll
· Professional
· Ability to problem solve
· Communicates clearly and concisely, both orally and in writing
· Establishes, maintains, and fosters positive and harmonious working relationships with those contacted in the course of work
· High School Diploma or GED
· Professional experience as listed above
· Valid drivers license
Physical Requirements:
· Ability to sit for long periods of time
· Must be able to deal with stressful situations
· Must be able to deal with upset customers
· Must be able to lift and carry items up to 30 lbs
